University of Louisville Digital Transformation Center
Terms of Service
Effective Date: 10/21/2026
Website: https://dtctraining.louisville.edu
1. Purpose, Scope, and Acceptance of Terms
The University of Louisville Digital Transformation Center (DTC) provides noncredit workforce training, assessments, professional development opportunities, industry credentials, and related services through its online learning platform at dtctraining.louisville.edu.
These Terms of Service establish the conditions governing enrollment, participation, payment, instructional access, certification opportunities, and use of DTC workforce training services.
These Terms apply to all DTC workforce training programs offered through the learning platform, including free, paid, and scholarship-funded offerings.
By purchasing, enrolling in, or accessing a DTC workforce training program, participants acknowledge their responsibility to review and comply with these Terms, applicable program requirements, and relevant University of Louisville policies.
DTC workforce training programs are noncredit offerings unless expressly identified otherwise. Participation does not constitute admission to a University academic degree or credit-bearing program.
2. Eligibility, Enrollment, and Program-Specific Conditions
Participants must satisfy the eligibility requirements established for their selected workforce training program.
DTC workforce training is generally intended for individuals 18 years of age or older. Participation by minors may be authorized only when consistent with applicable University policies, legal requirements, and any required parental or guardian permissions.
Some programs may require verification of eligibility, professional affiliation, employment status, or other qualifications. Scholarship-funded opportunities may require documentation demonstrating eligibility under the applicable Sponsored Program.
DTC reserves the right to verify eligibility and deny or discontinue enrollment when program requirements are not satisfied, subject to applicable University policies.
Applicability and Program-Specific Conditions
These Terms of Service apply to all Digital Transformation Center workforce training programs offered through the DTC learning platform.
Individual workforce training programs, including Sponsored Programs, may have additional eligibility requirements, participation expectations, completion deadlines, certification benefits, or other conditions specific to the program.
Material purchase and participation conditions will be disclosed before payment or enrollment. Program-specific requirements and approved exceptions will be communicated through the enrollment process, with the participant's admission letter confirming applicable program dates and requirements.
Participants are responsible for reviewing and complying with both these Terms of Service and the requirements established for their respective program.
Where a program-specific requirement differs from a general provision of these Terms, the specifically communicated program requirement will govern for that participant, provided it is consistent with applicable University of Louisville policies and legal requirements.
3. Participant Accounts and Responsibilities
Participants are responsible for providing accurate information during registration and enrollment and for maintaining the security of their learning platform accounts.
Account credentials are intended for individual use and may not be shared, transferred, or used to provide unauthorized access to instructional materials.
Participants are responsible for:
Maintaining accurate account and contact information.
Monitoring their enrollment status, instructional progress, and program deadlines.
Reviewing communications from DTC and its authorized service providers.
Completing applicable assignments, assessments, and other training requirements.
Contacting DTC when circumstances may affect their participation or ability to complete training.
Complying with applicable instructional, academic integrity, and technology-use requirements.
Participants must promptly report suspected unauthorized account access or other security concerns.
Failure to maintain communication or comply with applicable program requirements may affect continued enrollment or eligibility for program benefits.
4. Workforce Training Access, Completion, and Extensions
Program Access and Completion Deadlines
Each participant's program completion deadline will be established in the admission letter issued following purchase or manual enrollment.
Participants are responsible for completing their training within the timeframe specified in that letter.
Access periods vary by program and may be affected by the type of enrollment, applicable Sponsored Program requirements, and third-party training provider conditions.
Enrollment does not guarantee unlimited or indefinite access to instructional materials.
Automatic Disenrollment for Inactivity
Participants who do not access the DTC learning platform for 90 consecutive calendar days will be automatically disenrolled from their workforce training program. This requirement does not apply to the ITCP program.
DTC monitors participant activity and instructional progress throughout the enrollment period for Sponsored Programs. Participants may receive inactivity reminders and will receive a 30-day program expiration reminder as part of DTC's routine monitoring and communication procedures.
Participants are responsible for maintaining active participation, making reasonable progress toward completing program requirements, and communicating with DTC about circumstances that may affect their ability to complete their training.
Automatic disenrollment results in the loss of access to the affected workforce training program and its associated instructional materials. Disenrollment does not entitle a participant to a refund or guarantee reinstatement.
Scholarship recipients are subject to additional program requirements and deadlines established by the applicable Sponsored Program. Failure to maintain adequate progress may affect their eligibility for continued training, certification opportunities, or other Sponsored Program benefits.
Participants are responsible for responding to DTC communications and contacting the designated Helpdesk system when circumstances may affect their participation or ability to complete program requirements.
Sponsored Program/General Program Extensions
Program extensions are not guaranteed. Participants must submit their initial extension request through the designated DTC Helpdesk system before the program end date established in their admission letter.
Participants paying the full program fee without a scholarship who have received a first extension may request a second extension before their currently approved extension period expires.
All extension requests are subject to review based on the participant's current progress, applicable program requirements, and other relevant circumstances. Submission of an extension request does not guarantee approval.
The following maximum extension limits apply:
100% scholarship recipients: One extension, not to exceed 60 days.
60%–90% scholarship recipients: One extension, not to exceed 90 days.
50% scholarship recipients: One extension, not to exceed 120 days.
Participants paying the full program fee without a scholarship: Up to two extensions, not to exceed a combined total of 180 days.
Scholarship availability, eligibility, and any additional program-specific conditions are established by the applicable Sponsored Program and communicated to participants during the enrollment process.
The length of any approved extension will be determined based on the participant's progress and the requirements of the applicable workforce training program. The maximum timeframes identified above are limits and do not represent guaranteed extension periods.
For scholarship recipients, approval of a program extension does not guarantee continued access to additional Sponsored Program opportunities or benefits, including IT certification training and examination vouchers. Availability beyond the original program end date depends on applicable Sponsored Program requirements, funding availability, and established deadlines.
For participants paying the full program fee without a scholarship, access to IT certifications cannot be guaranteed after the approved extension period ends.
Approved extensions do not automatically extend third-party certification access, examination voucher expiration dates, or other deadlines established by external providers.
IT Certification Training and Examination Voucher Requests
Participants enrolled in DTC workforce training programs that include IT certification opportunities must meet the applicable program requirements before receiving certification training access or examination vouchers.
Sponsored Programs
Participants receiving scholarships through a Sponsored Program must demonstrate the required instructional progress before becoming eligible for certification training and examination vouchers.
Each Sponsored Program establishes its own training pathway and completion requirements. These pathways are generally designed for completion within 90–120 days, depending on the specific program.
Participants will be prompted through the DTC learning platform to apply for certification training and examination vouchers as they progress through their curriculum.
Certification training and examination vouchers are subject to the requirements, performance periods, and funding availability of the applicable Sponsored Program. Completing instructional requirements or submitting a request does not guarantee continued availability after applicable funding or eligibility periods have expired.
ITCP Participants
Participants enrolled in the ITCP program become eligible to receive applicable IT certification examination vouchers after completing at least 50% of their required training.
ITCP participants must submit examination voucher requests within 12 months of the date DTC issues their vendor training code.
Vendor training codes provide 12 months of training access beginning on the date the participant activates the code. Participants are responsible for activating their codes, managing their training access, and completing applicable certification requirements within the established timeframes. Delays in activating a vendor training code do not extend DTC's examination voucher request deadline.
General Certification Requirements
Participants are responsible for monitoring their instructional progress, completing applicable eligibility requirements, and submitting examination voucher requests through the designated DTC process.
Approval of a program extension does not automatically extend certification training eligibility, examination voucher request deadlines, or other applicable program requirements.
Once issued, examination vouchers remain subject to the activation, scheduling, expiration, and other requirements established by the applicable certification provider.
Failure to satisfy applicable program requirements or submit a request within the established timeframe may result in the loss of certification benefits.
5. Pricing, Payments, and Purchases
Prices for paid DTC workforce training programs are established by the applicable offering and displayed or otherwise communicated before purchase.
Unless expressly stated otherwise, payment is required before access to paid instructional materials is provided.
DTC uses authorized payment processing services, including Stripe and Authorize.net, to administer online purchases. Certain manually administered enrollments may be invoiced through applicable University procedures.
DTC does not currently offer installment payment plans unless expressly authorized for a specific program.
Participants are responsible for reviewing program descriptions, pricing, eligibility requirements, and applicable terms before completing a purchase.
Successful payment may result in immediate access to digital instructional materials. Certain certification products, training codes, and examination vouchers require separate verification, issuance, or activation procedures.
Purchases and transactions remain subject to applicable University financial policies and legal requirements.
6. Refund Policy for Digital Workforce Training
Purchases of DTC noncredit workforce training programs are generally nonrefundable. For offerings that provide immediate access to digital instructional materials upon successful payment and enrollment, no standard refund or cancellation period is provided.
Participants are responsible for reviewing the program description, access period, eligibility requirements, technical requirements, and applicable terms before completing a purchase.
Failure to begin or complete training, voluntary withdrawal, inactivity, automatic disenrollment, or expiration of the program access period does not qualify a participant for a refund.
Refund requests and exceptions involving DTC workforce training programs will be reviewed and determined by the Director of the Digital Transformation Center, subject to applicable University of Louisville policies and legal requirements.
ITCP certification activation codes and examination vouchers are nonrefundable once distributed, except where otherwise required by applicable law or University policy.
7. Sponsored Programs, Scholarships, and Grant-Funded Training
DTC administers certain workforce training opportunities through externally Sponsored Programs, grants, contracts, and other authorized funding arrangements.
These opportunities may provide full or partial scholarships, instructional access, certification training, examination vouchers, or related participant benefits.
Scholarship availability and eligibility are determined by the requirements of the applicable Sponsored Program. Participants may be required to provide documentation supporting their eligibility.
Sponsored Programs may establish additional participation requirements, completion deadlines, instructional milestones, certification eligibility conditions, and reporting obligations.
Participants receiving scholarships are responsible for maintaining satisfactory progress and completing applicable program requirements within the established timeframes.
Sponsored Program funding is limited by applicable award periods, budgets, and other sponsor requirements. Approval of additional instructional access does not guarantee that funding will remain available for certification training, examination vouchers, or other benefits.
DTC may collect and report authorized participant information, enrollment activity, instructional progress, completion outcomes, and other applicable performance measures to meet Sponsored Program obligations.
Where practical and appropriate, reporting will use aggregated or de-identified information. Identifiable information will be disclosed only when authorized and necessary.
Failure to complete a scholarship-funded program does not automatically create a repayment obligation unless such an obligation is expressly established through applicable program terms or a separate authorized agreement.
8. Participant Conduct, Academic Integrity, and Responsible Use
Participants are expected to conduct themselves professionally and comply with applicable University policies, program instructions, and academic integrity requirements.
Prohibited conduct includes:
Unauthorized access to accounts, systems, networks, or instructional resources.
Sharing account credentials or providing unauthorized access to training materials.
Plagiarism, cheating, falsification of assessment results, or misrepresentation of completed work.
Harassment, threats, or other conduct that interferes with the learning environment.
Misuse of cybersecurity laboratories, virtual environments, or instructional technology.
Unauthorized copying, redistribution, publication, or commercial use of protected instructional materials.
Participants may use artificial intelligence tools for legitimate learning support, research, organization, or writing assistance when permitted by applicable instructional requirements.
AI-generated content may not be presented as independently completed work when doing so violates program instructions or academic integrity expectations.
DTC may review suspected violations and take appropriate corrective action consistent with applicable University procedures.
9. Intellectual Property and Instructional Materials
Instructional materials provided through DTC workforce training programs may be owned by the University of Louisville, its instructors, consortium partners, publishers, certification providers, or other authorized rights holders.
Enrollment grants participants a limited, individual, nontransferable right to access and use the materials for authorized educational purposes during the applicable access period.
Participants may not reproduce, distribute, sell, publicly post, or otherwise exploit instructional materials without appropriate authorization.
This restriction includes unauthorized copying or extraction of substantial instructional content through automated tools or artificial intelligence technologies.
Participants retain applicable rights to original work they create, subject to relevant program agreements, assignment requirements, and University policies.
Nothing in these Terms transfers ownership of instructional content or third-party intellectual property to participants.
10. Assessments, Credentials, Certifications, and Employment Outcomes
DTC workforce training programs may include assignments, assessments, certificates of completion, digital badges, industry certification preparation, or other recognized credentials.
Participants must satisfy the applicable requirements before receiving a completion record or credential.
Digital badges may be issued through Credly or another authorized credential provider. Participants may be required to establish an account with the provider to claim or manage their badges.
Industry certification examinations are administered by independent certification organizations, including CompTIA and EC-Council, where applicable.
Completion of DTC instructional materials does not guarantee passage of a certification examination or issuance of an industry certification.
Participants must comply with the certification training eligibility, voucher request deadlines, activation requirements, and examination provider conditions described in Section 4.
Some DTC workforce training programs or learning experiences may have received American Council on Education (ACE) credit recommendations.
An ACE credit recommendation does not automatically award University of Louisville academic credit or guarantee acceptance by another institution. Decisions regarding academic credit remain with the receiving institution.
DTC may provide career preparation, employer engagement, or employment placement assistance as part of certain Sponsored Programs.
Participation does not guarantee employment, a job interview, a particular salary, or placement with a specific employer.
11. Third-Party Platforms and Services
DTC relies on authorized third-party technology providers and service organizations to deliver workforce training and related services.
These may include Thinkific, Stripe, Authorize.net, Credly, CompTIA, EC-Council, video conferencing providers, and other instructional or administrative platforms.
Participants may be required to establish separate accounts, activate access codes, or accept additional terms established by these providers.
Third-party services may have independent availability, technical requirements, access periods, privacy practices, and restrictions.
DTC does not control all operational decisions, examination policies, credential requirements, or service interruptions associated with independent providers.
DTC will coordinate participant concerns involving authorized services where appropriate, but cannot guarantee continued access beyond the applicable provider's conditions or authorized program period.
12. Privacy and Personal Information
DTC collects and processes participant information as necessary to administer enrollment, deliver instruction, verify eligibility, manage credentials, process transactions, support participants, and fulfill applicable Sponsored Program obligations.
Information may be shared with authorized University personnel, service providers, certification organizations, or program sponsors when necessary and permitted for legitimate program purposes.
DTC does not sell participant personal information.
The collection, use, disclosure, retention, and protection of participant information are further addressed in the DTC Privacy Policy.
That policy supplements the University of Louisville's institutional privacy requirements and applies to DTC's workforce training operations.
Participants may direct program or platform privacy questions to [email protected]. University-wide privacy inquiries may be directed to [email protected].
13. Suspension, Disenrollment, and Termination
DTC may suspend, restrict, or terminate access when a participant violates applicable Terms of Service, program requirements, instructional integrity standards, or University policies.
Actions may also be taken when eligibility requirements are not met, authorized access periods expire, or participation is discontinued under applicable program rules.
Participants who do not access the learning platform for 90 consecutive calendar days are subject to automatic disenrollment as described in Section 4, except for ITCP participants.
Automatic disenrollment for inactivity is an administrative enrollment action and is not necessarily a disciplinary determination.
Reinstatement or continued access is not guaranteed and remains subject to applicable program requirements, available access periods, and authorized administrative decisions.
The Director of the Digital Transformation Center may authorize exceptions to administrative disenrollment based on individual circumstances, consistent with applicable University requirements.
An exception permitting continued enrollment does not automatically extend program completion deadlines, certification eligibility, examination voucher availability, placement services, or other Sponsored Program benefits.
Suspension, disenrollment, or termination does not automatically entitle a participant to a refund.
14. Disclaimers, Limitations, and Applicable Law
DTC makes reasonable efforts to provide accurate instructional information, functioning learning technology, and appropriate participant support.
However, access to online services may occasionally be interrupted by maintenance, technical issues, third-party provider disruptions, or circumstances outside DTC's reasonable control.
DTC does not guarantee uninterrupted availability, certification examination success, acceptance of credentials by employers or institutions, or specific employment outcomes.
Nothing in these Terms limits rights or remedies that cannot lawfully be excluded or restricted.
These Terms are interpreted in accordance with applicable Kentucky law and relevant federal law.
Nothing in these Terms constitutes a waiver of any immunity, defense, or protection available to the University of Louisville under applicable law.
15. Changes to Terms, Institutional Requirements, and Contact Information
DTC may update these Terms of Service to reflect changes in workforce training operations, Sponsored Program requirements, technology providers, University policies, or applicable legal requirements.
The current version will be published on the DTC learning platform with its effective date.
Material changes affecting participant rights, financial obligations, or program access will be communicated when required by applicable law or University policy.
Changes to general Terms will ordinarily apply prospectively. Material conditions applicable to existing participants will be governed by their enrollment agreements, previously communicated program requirements, applicable University policies, and legal requirements.
Program-specific requirements or approved exceptions will be communicated during enrollment and confirmed through applicable program documentation.
